Annual General Meeting – 2026
Notice is given that the Annual General Meeting (AGM) of The Scout Association of Australia New South Wales Branch (Scouts NSW) will be held on the date and at the time and place set out below.
This Notice is given by the Chief Executive pursuant to clause 3.2(a) of the Scouts NSW Constitution (Constitution). Capitalised terms used but not defined in this Notice have the meaning given to them in the Constitution.

Council Members who are unable to attend in person may view a live feed of the AGM virtually. Online attendance will be view only, there will not be an opportunity to engage in the meeting if you attend online. You can obtain a link from Scouts NSW to attend online by clicking here.

VOTING

Voting for all resolutions will be conducted electronically using the VERO voting platform. Council Members are strongly encouraged to cast their votes electronically in advance of the AGM. Advance voting speeds up the conduct of the meeting on the day and minimises the time required to tally results.
Instructions and access details for VERO will be provided to all Council Members separately from this Notice. There will be paper voting in person at the AGM for those members who have not voted electronically prior to the meeting. The Returning Officer will certify all results, which will be announced at the meeting.
Pursuant to clause 3.6(k) of the Constitution, no Council Member may appoint an attorney to vote or vote through a proxy.
Attendance and Registration
REGISTRATION
Council Members intending to attend – whether in person or virtually – are asked to register their attendance by 11 July 2026 using the RSVP link here. Registration assists with event logistics and catering, quorum administration and Direct Vote processing but is not a condition of attendance or voting entitlement. Council Members who have submitted a Direct Vote are still welcome to attend and should also register.
IN PERSON ATTENDANCE
Council Members wishing to attend in person are welcome at the AGM venue, Lyon Barton Hall, Baden-Powell Activity Centre, Pennant Hills.

VIRTUAL ATTENDANCE
Council Members wishing to attend virtually may do so via Microsoft Teams. Connection details, including the meeting link and dial-in number, will be sent to all Council Members by email prior to the meeting. If you have not received connection details by 14 July 2026, please contact agm@nsw.scouts.com.au.
Council Members are encouraged to test their connection in advance. Technical support will be available from 9.30am on the morning of the meeting.
ACCESSIBILITY
The AGM venue is wheelchair accessible. The virtual attendance option is available to any Council Member who is unable to attend in person. Council Members who require accessibility assistance – including for the virtual platform – are asked to indicate via the RSVP form so that appropriate arrangements can be made.

Council Members with questions about this Notice, the proposed resolutions, candidate profiles, or the voting process should contact agm@nsw.scouts.com.au no later than 11 July 2026. Questions received after this date may not be able to be addressed prior to the meeting.
